Police Records Check - Vulnerable Sector Check (VSC)
STEP 1 – Prepare President’s Letter

i) Print off the letter
ii) Complete the letter (date, your name)
iii) Scan the completed letter
iv) Store the scanned letter as a .jpg file on your computer

STEP 2 – Contact Ottawa Police Services for Police Check
Instructions for 2026
· The following instructions are only for those living in the Municipality of Ottawa.
· If you live outside of Ottawa, then apply via your local police service (or OPP or SDQ).
· Nevertheless, follow the instructions below as a guide.
The following are excerpts from the Ottawa Police Service Website. Remember you are applying for a Level 3 Vulnerable Sector Check (VSC).
How much does it cost?
· No Charge (With Letter on Letterhead from Sponsoring Organization outlining Volunteer Capacity
at the time of request) (Ottawa residents only)
· $74: If you do not have a letter from your sponsoring organization. (Ottawa residents only)
How to Apply for a VSC?
Two choices (Ottawa residents only):

In Person
If you must apply in person, then book an appointment and go to the following location in Ottawa:
The Customer Service Desk is located at 2670 Queensview Drive and is open by appointment to serve you better. For non-emergency enquiries and to book an appointment, call their main number, 613-236-1222
Email them at recordscheck@ottawapolice.ca with questions or concerns.
Appointments: They will book an appointment if you need to come in person for issues related to payment, identity verification or fingerprints.
· What to bring: Along with your completed Police Records Check for Service with the Vulnerable Sector Form #306 , your completed President’s Letter, and you will need to bring two (2) valid pieces of identification to any of the Ottawa Police stations. Both pieces of identification must have your name and date of birth and proof of valid Ottawa address, and at least 1 piece of identification must be photo identification.
How to obtain Results
Always request your results in hardcopy mail via Canada Post. The hardcopy will have a embossed water mark to prove authenticity. Do NOT request results via email.
STEP 3 – What to do with the Results?
For members in Canada:
A Kiwanis advisor must obtain a vulnerable sector check from the local police municipality. Once this VSC record has been received, the member must mail the original to Kiwanis International for verification (a copy or emailed PDF of the VSC will not be accepted). After review and verification by Kiwanis International of the original, we will mail it back to the member. The member’s record then will be updated with the date of the criminal history check. As a resident of Canada, please obtain a vulnerable sector check through your local Canadian police service. Upon your receipt of the results, the original must be mailed to:

NOTE: Mailing the original through the postal service is still the safest way to send VSC results. It is not safe to email the results nor is it valid to send a certified copy of the results.
IMPORTANT - You must submit your results to KI, as instructed above, so your Member’s Record on the
KI database is updated with your latest Police Records Check (VSC) results.
You must reapply for a new VSC every two (2) years.
